Guidelines for Sponsoring an Online Teaching with Khenchen
We are delighted that your sangha is interested in sponsoring a Zoom teaching event with Khenchen Rinpoche! We are extremely fortunate that Khenchen Rinpoche has agreed to teach the world-wide sangha over Zoom during his retirement. Rinpoche would like us to bring a level of professionalism to this process so that the teachings go smoothly and reach as many people as possible.
We have set up this guideline so that we can help as many people as possible hear Khenchen Rinpoche’s teachings – and so that our small volunteer crew in Madison and Iowa City can continue to support these teachings.
We want your sponsored teaching to be a success and are here to help you along the way the first time if you need it. In addition, if you have ideas of how to make this process better – please contact us.

OPTION 1 – FULL SPONSORSHIP
Rinpoche is available for zoom teachings on Wednesday and Saturday mornings from 9am to noon Chicago time. The primary reason for this schedule is to honor Rinpoche’s health, well being and need for rest. All sanghas – including international sanghas must coordinate with DKDharma Circle beginning at least one month in advance of planned event.
With full sponsorship YOUR SANGHA will be responsible for the following:
4 weeks before the event:
Book your dates 4 weeks in advance with Linda at DK Dharma Circle. (If you do not coordinate with Linda we cannot get your dates confirmed.)
You must secure your date/s for a sponsored meeting at least 4 weeks in advance of the teaching date. First take a look at Rinpoche’s schedule and then contact us to plan a sponsored event.
You must contact DK Dharma circle to confirm before going to the next steps.
3 weeks before the event:
Create a zoom meeting that will accommodate at least 200 people.
Recent teachings by Rinpoche have reached 200 people in total and we have seen steady growth each week. Provide the zoom information to DKDharma Circle by at least 3 weeks in advance of the event for publicity and smooth planning.
Set up your online donations system.
Set up your online donations system
You will need to get your online donation system set up in advance of your publicity so that you can publicize them together. It is Khenchen Rinpoche’s decision to offer his online teachings free of charge and only take love offerings. For our first few teachings we set up an option for people to make a donation to Khenchen and also to make a donation to the Zoom meeting. If you are a full sponsor we would propose the following:

At the end of the event you will send the donations for Khenchen Rinpoche to him directly in the form of a check, money order or wire transfer etc. (see below)
If you are the full sponsor we ask that you split any donations with DKDharma Circle. You may keep 90% of the Donations for Zoom Sponsorship. Please send 10% of the offerings to DK Dharma Circle at the end of the event. (see below)
Decide who will be your co-hosts for the event.
You will need at least one co-host besides the featured host in order to let people into the meeting efficiently. This person should also answer questions in the chat room and keep people’s microphones turned off. You need to decide in advance of the event who will let people into the meeting, who will mute those who inadvertently leave their mic on, and who will screen share opening and closing prayers.
Clear job titles and responsibilities help the teaching go smoothly and increase confidence/trust for Rinpoche and the Sangha at large.
During the event all the coordinators – including translators, host and co-hosts will need to be able to be in communication using a method that is not the Zoom meeting itself – such as text message. These phone numbers should be exchanged and set up in advance.
Decide who will read opening and closing prayers.
You will need to decide in advance who will read opening and closing prayers. These will be screen-shared either by one of your co-hosts.
Coordinate with translators.
There are translators who have already decided that they want to translate Khenchen’s teachings. Coordinate with these translators who have said they want to engage in simultaneous translation to make arrangements for co-hosting your zoom event. Please do this by at least 3 weeks in advance of the event.

Create your Facebook publicity
Please create a Facebook event for your sponsored Teaching no later than 2 weeks before the teaching date. If possible create an image to go along with the event. After you have posted your event pin it to the top of your page until the event is over. In addition, alert the following as soon as you have created your event so that they can add to their FB pages:

Email publicity through MailChimp or similar email host
Please be sure to publicize your sponsored event to your email list in a timely way – starting at least 3 weeks before the event. You will need to contact Linda to make sure that your information is correct.
During the event:
Plan to start your meeting 50 min in advance.
There are always some people who are confused about the time zone. By opening the meeting early you can let them know the correct time. In addition, 50 minutes is about the time needed to comfortably organize all the co-hosts for the meeting.
Be available by email and/or text message to answer questions from participants.
It is important for someone to be available by email and text to about the zoom event in the days prior to the event and on the day of the event.
Record the Zoom meeting on your local computer.
During the meeting you will record it to a computer with enough space to accommodate several GB of data. It is best if the computer doing the recording only shows Rinpoche during the recording and not the screen with many people.
After the event:
Send the recorded Zoom event to Omar to load onto the Khenchen Rinpoche Youtube channel.
After the event is over you will send the recorded zoom meeting file to Omar to be uploaded onto Rinpoche’s YouTube account.
Send Khenchen Rinpoche the money for his offering.
After the event is over you will send a check to Rinpoche for his donations. Please send Rinpoche his offering within 3 weeks of the event. Please send the check to:
